How It Works
File Naming
Please rename your document before sending it to us using the following format:
First-name_Last-name_Todays-date
For example, if your name is Andre Carpenter and today’s date is 2 July 2024, your file should be named:
Andre_Carpenter_02072024
If you are submitting more than one file on the same day, please add a suffix:
Andre_Carpenter_02072024_2, Andre_Carpenter_02072024_3, and so on.
Format and Style Guide
Your document may be written in either British or American English. You may specify a style guide such as Harvard, Chicago, APA, or provide a link to a journal’s author instructions.
If no style guide is supplied, we will correct and format your references using the style most consistently applied in your document to maintain continuity.
Deadlines
Please set your deadline as the exact date and time you need the completed document delivered to your email inbox. We recommend choosing a deadline that gives you sufficient time before submission to review our suggestions, add or complete bibliographic references, and print or bind the document if required.
Document Submission
You may submit your file through our secure upload link:
https://easy.filemail.com/
Alternatively, you may email the document to:
enquiries@proof-reading-services.com
When emailing your document, please include the following details:
Your name
Your university or institution
Address details
Academic field of your document(s)
Your deadline
Format (British or American English)
Style guide
Any particular comments or requests
Word Count and Pricing
Upon receipt of your document, we will calculate the word count in Microsoft Word (Tools → Word Count). The total word count will be multiplied by the rate applicable to you.
We will then send you an email confirming the price, deadline, format, and style guide. Even if your document requires extensive editing, we guarantee that the quoted price will not increase.
Proofreading Method
Your document will be proofread using the “Track Changes” function in Microsoft Word. This allows you to:
• move easily between edits and suggestions,
• accept or reject individual changes,
• view comments and recommendations clearly displayed in the right-hand margin.
Files Returned to You
When proofreading is complete, you will receive two files:
Tracked version: shows all edits, comments, and suggestions (yourfilename_tracked_version.docx)
Clean version: a fully proofread file with all changes accepted (yourfilename_clean_version.docx)
Using the earlier example, these files would be:
Andre_Carpenter_02072024_tracked_version
Andre_Carpenter_02072024_clean_version
Benefits of This Method
The tracked version allows you to review every change at your own pace and understand exactly how your document was improved. The clean version is ready to print or submit immediately, without requiring you to manually accept each edit. Comments, suggestions, and corrections are always displayed clearly in the right-hand margin.
